Campers agree to the following Camper Liability Waiver and Photo Release as part of the annual registration process.
Campers are also required to complete a Medical Release and History Form by the later of two dates: the May 15 preceding a camp session, or one day after submitting a registration form.
Caz Northwest, a Washington non-profit corporation, is the producer of an arts and creativity camp for all ages in Longbranch, WA (“Camp”). Caz Northwest has contracted to provide the facility, staff, faculty, food and maintenance services for Camp. As consideration for, and as an express requirement of Camper's participation in Camp activities, we require, and are materially relying on the requirement that you understand and agree to a waiver of any and all claims you might have against Caz Northwest, their officers, directors, employees, agents, independent contractors, campground providers and other representatives (hereinafter referred to jointly and severally as "the Caz Entities"), as well as agree to be bound by other terms and conditions stated in this Waiver. As this is a binding legal document, you should read this document carefully before signing. By signing this Waiver, and to the extent permitted by law, you waive any and all claims for damages for death, personal injury, loss or property damage which you may have or which may hereafter accrue to you or your child against the Caz Entities as a result of your or your child's participation in the Camp, and as related to the nature, type or condition of the events involved, and/or with respect to the condition of the sites involved, and/or with respect to the supervision provided, and/or with respect to the activities performed, whether or not caused by the negligence (active or passive) of the Caz Entities. This Waiver is signed in order for you or your child to participate in this activity for his or her own personal enjoyment and benefit and is done so freely with full knowledge of the risk and dangers incident thereto.
It is acknowledged that the Camper will be living in an outdoor, rustic camp facility with the inherent dangers and risks associated with camp activities, which include, but are not limited to: swimming, diving, wading, other water activities, hiking, climbing, basketball, softball, kayaking, pickleball, volleyball, other ball sports, exposure to local flora and fauna, and socializing near a campfire. By signing this agreement, you further acknowledge that you agree to assume and bear sole responsibility for these dangers and risks and to absolve and hold harmless the Caz Entities from all risks associated with camp programs and activities. You also agree to indemnify, defend, and hold the Caz Entities free and harmless from any and all expenses, demands, claims, costs, losses, damages, recoveries, settlements, and expenses (including but not limited to interest, penalties, attorney's fees, expert witness fees, costs, and other expenses) of any nature or kind which are incurred by the indemnity ("losses"), known or unknown, contingent or otherwise, directly or indirectly arising from or related to the Camper’s participation in Camp activities. No refund or adjustment is made, and no prior notice is made, if the Caz Entities change the Camp program by adding, altering, or deleting activities as deemed necessary by the Camp Director. It is also understood and agreed that the Caz Entities have made no promise or pledge, express or implied, to provide any special facilities or services to those with any medical problems, health problems, or physical disabilities, including but not limited to accommodation of special diets, other than as expressly set forth in the Medical Release and History Form, and which the Caz Entities, in their sole discretion, predetermine they can reasonably provide based solely upon the information and Camper’s history provided in said Medical Release and History Form, and the inherent limitations of Camp staff and facilities. Further, you understand and agree that, for the safety and comfort of everyone, the Camp is a non-smoking camp, except in designated areas, and is in conformance with all applicable laws governing drug use, alcohol use by minors, environmental protection, health, and safety.
Rules established to protect the property, privacy and safety of the Camp, Campers, and the Caz Entities will be enforced. Campers’ willful violation of Camp rules can lead to dismissal from Camp. The Caz Entities reserve the right to dismiss or remove the Camper for misbehavior at any time. You acknowledge that if the Camper is dismissed or otherwise removed from the Camp you will be completely responsible for making arrangements for transportation, and that the Caz Entities shall make no refunds of any funds paid in association with this Camp.
The Caz Entities may use any pictures, videos, or sound recordings taken of staff and campers during camp time.
Campers who provide an e-mail address may receive updates and information from the Caz Entities. Unless requested otherwise, the names of campers and the addresses of campers older than age 18 may be included in a Camper Directory to be distributed at the end of camp. The Caz Entities will not sell or otherwise share the names and addresses of campers.
This agreement hereby incorporates by reference in their entirety as if fully set forth herein, the Medical Release and History Form, and the Camper’s Registration Form. To the extent there are any conflicting terms and conditions in the incorporated agreements hereto, this Camper Liability Waiver and Photo Release shall control and supersede any such provisions.
This agreement shall represent the full and complete agreement between the parties, and any modification of the terms set forth herein shall be effective only if in writing and signed by all parties hereto. The parties to this agreement stipulate that this agreement shall be considered to have been entered into in Mercer Island, Washington, and that any interpretation of the terms of this agreement shall be made under the law of the state of Washington, without respect to its conflict of laws provisions. -
Our community standards are intended to support our unique culture as a camp. We require each community member (i.e., each camper, staff member, and staff dependent) to respect these policies.
In accordance with state law, Caz Northwest prohibits the use or possession of illegal drugs (including, but not limited to, any controlled substances without a valid physician’s prescription). Theft and vandalism are also prohibited. State law prohibits the use or possession of alcohol by individuals under 21.
Firearms and weapons of any kind are prohibited at camp - on your person, in your vehicle, inside your housing, or anywhere else at the campground. Motorized watercraft are prohibited at camp.
Any community member found to violate these policies will be asked to leave camp immediately. No refund of fees will be provided. If a parent is not available to pick up a camper or staff dependent who is a minor, Caz Northwest reserves the right to arrange transportation home of the minor at the expense of the minor’s parent or guardian.
Community members who desire to use watercraft on the waterfront must follow staff safety directions. All participants, regardless of age, must wear lifejackets (PFDs).
To ensure a safe, healthy and restful experience for all members of the community, community members hereby commit to the following:
1. During quiet time, avoid making sound that will be plainly audible to other groups at camp. Quiet time happens midday after lunch and nights between 10:00 PM and 7:30 AM, or as otherwise established by the camp director.
2. Parents and Guardians will make sure that all minors under their care are back at their cabin no later than 11:00 PM.
3. Adults who choose to use alcohol must do so responsibly and ensure that containers are not in public view. Alcohol cans and bottles must be stored privately and taken home for recycling to avoid piles of empty cans and bottles in public areas.
4. Teens and young adults should be aware that their behavior is seen as a model by younger kids and has a strong influence on them. As a result, teens and young adults are expected to conduct themselves mindfully and in accordance with community standards discussed here.
Individuals who do not honor these policies will be referred to the Camp Director(s). Failure to honor these policies may result in individuals or groups being asked to leave camp without refund. -
Space at Caz Northwest is limited and allocated to campers at time of registration on a first-come, first-served basis. When campers reserve a space, it may hinder other potential campers from planning their vacations at Caz. In addition, every registration requires effort from the session organizers.
As a result, $50 of each camper’s program registration fee is non-refundable. In addition, $100 of each housing fee is non-refundable, with one exception: any fee associated with reserving tent space is refundable until the May 15 prior to a session.
Caz Northwest becomes liable for the costs of camp weeks or months in advance of the beginning of each session. As a result, after the May 15 prior to a session, all fees paid become non-refundable, regardless of registration date. To protect campers from financial loss associated with unforeseen events that prevent their attendance at camp, campers may purchase third-party tuition or travel insurance.
All requests for refunds must be made in writing. -
We are committed to taking steps to keep our camp experience a healthy one for campers and staff. While it is impossible to prevent the spread of disease completely, we have several requirements for campers and staff to participate in our camp:
• We are committed to taking steps to keep our camp experience a healthy one for campers and staff. While it is impossible to prevent the spread of disease completely, we have several requirements for campers and staff to participate in our camp:
• We require that all participants submit a medical form, which includes medical provider contact info, allergies and other medical conditions, and the dates of your latest tetanus and COVID shots.
• We require that participants who are more than 18 months old have either 1) received a COVID vaccine during the 12 months prior to camp, or 2) been diagnosed with, and recovered from, COVID during the 6 months prior to camp. We recommend that all participants have received the most recent COVID vaccine, regardless of time since their previous vaccination.
• We require that all participants self-test for COVID before leaving home (within 24 hours of arrival to camp) and take a selfie of themselves with their negative test to bring to camp. If the test is positive, please stay home. Free covid tests can be ordered through USPS.
• For those that are unable to self test and/or document their self test prior to camp arrival, we require a COVID test upon arrival at camp. Participants who receive a positive test result at arrival will be asked to return home.Community Guidelines Related to Illness:
No one likes to miss out on fun experiences due to illness, particularly special events that come around only once a year. That said, the health of our camp community relies on responsible behavior of individuals.
• Before camp begins, if you have a fever greater than 100.4 degrees F, a new cough, new cold symptoms, diarrhea, or a new rash, please don’t come to camp.
• During the five days before camp begins, minimize your exposure to communicable illnesses.
• Wash your hands before each meal and after using the restroom. Help remind children to wash their hands.
• If you don’t feel well while at camp, notify staff and test for COVID immediately. If the test is negative, the camp nurse may advise you to retest daily for three days to help differentiate between COVID and other illnesses. Mask and use social distancing during this period, out of respect for other campers.
• If your symptoms include a fever, new cold symptoms such as a cough, or diarrhea, isolate yourself and/or make plans to leave camp early. This guidance applies to all illness, not just COVID.
• If you shared a ride or sleeping quarters with a discovered COVID camper, test daily, mask, distance, and monitor for potential symptoms for three days.
• In all cases of illness, notify the camp nurse for additional advice and to allow monitoring of community-wide health and to inform potential adjustments to the camp program.
• Caz Northwest will make masks, hand sanitizer, and COVID tests available to the community.
• Caz Northwest is committed to delivering meals to community members who are in isolated housing due to illness.
Protecting your Camp Tuition in case of Illness:
• Unfortunately, Caz Northwest is not in a financial position to provide tuition refunds to campers who need to cancel their camp plans due to illness. We are required to pay for the site rental, the meal plan and the admin staff well in advance of camp. Therefore, we strongly recommend that all campers purchase travel/tuition insurance, to protect this expense in case of illness. Two companies that offer camp/trip insurance:
o Allianz: https://www.allianzcare.com/
o TravMark: https://travmark.com/
Read the fine print. We know a camper who missed camp due to Covid. Although they had a travel policy, the insurance company refused to cover their loss because they had not secured a doctor’s written diagnosis during the illness.
Staff Expectations related to Illness:
• As a staff member at Caz Northwest, you will be interacting frequently with numerous campers and other staff during your week. It is essential that you take care of your health during your week working at camp. This includes basic self-care that can be easier said than done while working in a dynamic camp environment, away from the routines and comforts of home. Please do your best to get lots of sleep and rest when you are not teaching or fulfilling your responsibilities. Stay hydrated and eat well during meal time. Set limits to your caffeine and sugar intake. Do not consume alcohol or other non-prescription drugs, even when you are "off duty."
• If you are feeling ill, it is important to pay attention to your symptoms, as tempting as it might be to power through them and keep word. If you have mild symptoms but no fever, please wear a mask when teaching and interacting with others. If you have a fever, please see the camp nurse and make arrangements to isolate from other campers and staff. If you test positive for COVID or your symptoms get worse after two days, you will be asked to leave camp early, and we will make arrangements to either cancel your classes or have other staff cover them.
• If you are required to isolate or leave camp early due to serious illness, you will still receive the full week's instructor pay. -
Caz Northwest is committed to complying with the Americans with Disabilities Act (ADA). In accordance with the ADA, people with disabilities will be allowed to bring service animals into areas of the camp where other campers and staff are normally allowed to go.
Service animals are animals that are individually trained to perform tasks for people with disabilities such as guiding people who are blind, alerting people who are deaf, pulling wheelchairs, alerting and protecting a person who is having a seizure, or performing other special tasks. Service animals are working animals, not pets. Pets are not permitted at camp. Emotional support animals do not meet the definition of service animals according to US Department of Justice ADA regulations and are also not permitted at camp.
A camper or staff member with a disability requesting to bring a service animal to camp will be required to provide proof that the animal is a service animal and of the tasks that it has been trained to perform.
The service animal’s owner will be required to remove the service animal from the premises if: (1) the animal is out of control and the animal's owner does not take effective action to control it (for example, a dog that barks repeatedly during a performance) or (2) the animal poses a direct threat to the health or safety of others.
The owner of the service animal will be held responsible and financially liable for any damage caused by the animal including any injury to other campers or staff. -
Sound View Camp has sufficient fixed, non-tent housing for about 70 people. To offer a sufficiently diverse program, however, Caz Northwest aims for a community population about twice that large, so half of us end up staying in tents, RVs, off-camp housing, or other alternatives.
To decide which community members get access to camp’s non-tent housing, the board has developed the following guidelines.
If anyone has a medical need that prevents them from staying in a tent or other alternative housing, we will prioritize finding them acceptable housing.
To maximize utilization of the housing stock, we provide low-cost options for those willing to share a cabin with unrelated campers and staff of the same gender.
If a staff member is required to work after 10:30 PM or before 6:30 AM, such as the camp nurse and our food catering team, we will prioritize assigning them to separate, non-tent housing.
If a staff member brings a child under age 5 to camp and wishes to stay in non-tent housing, we will prioritize those assignments.
After allocating housing to the groups listed above, remaining units will be available first-come, first-served to campers and staff members who pay the full rental prices listed on the Caz Northwest website. Full payment is required at the time of reservation, and no discounts are provided.
If any non-tent housing remains unallocated/unpurchased one month before the opening of the first session of camp, then it will be made available to staff members for no cost. When more staff members request these remaining units than we have units available, the camp’s housing administrator will decide by a random lottery who gets the available units.
We try to make Caz magical, but unfortunately, we remain bound by the constraints of time and space. Sometimes we won’t be able to apply these guidelines to every individual’s circumstance.
